Creatio
Creatio (formerly bpm'online) is a low-code CRM and business process management (BPM) platform. The product bundles CRM (sales, marketing, service) with a visual process designer for building custom workflows (approvals, escalations, multi-step automations). Creatio is popular with teams needing deep process automation (insurance, financial services, telecom, healthcare) that standard CRMs cannot handle. The platform supports custom objects, complex data models, and low-code app development. Setup is complex (expect 3-6 months for full deployment), but the result is a CRM tailored to your exact business process.
Why it ranks here
Creatio ranks eleventh because it is the best CRM for teams needing deep process automation and low-code customization. If your sales process has 15 steps, conditional approvals, and integrations with legacy systems, Creatio can model it. Rank 11 (not higher) because it is niche: overkill for standard sales teams, requires implementation resources, and has a small ecosystem.
Where it sits
Creatio sits at rank 11 in the niche tier. It competes with Salesforce (customization depth) and Microsoft Power Platform (low-code BPM) but loses on simplicity and ecosystem. Most teams choose Creatio when their process is too complex for HubSpot and too specialized for Salesforce out-of-the-box.
How GTM Systems teams use it
RevTech teams implement Creatio by modeling business processes in the visual designer: define stages, rules (if X then Y), approvals, and integrations. The platform generates the CRM UI and workflows automatically. Sales teams use the generated CRM for deal tracking, activity logging, and process adherence. Creatio integrates with ERP, billing, and legacy systems via API or custom connectors. The low-code studio allows admins to build custom apps (partner portals, service request forms) without writing code.
In-depth notes
Pricing is per-user edition tiers: Team (basic CRM, limited processes), Commerce (marketing automation, advanced workflows), Enterprise (BPM studio, custom apps, API access). Implementation costs are high (five to six figures depending on complexity). Data model is fully customizable (unlimited objects, relationships, fields). API is RESTful and SOAP-based (older tech stack). Creatio is a US company (formerly Ukrainian); product evolves slowly but is stable. Ecosystem is small; expect custom development for integrations.
Best for
Process-heavy industries (insurance, financial services, telecom, healthcare), teams needing low-code BPM, and organizations with complex approval or escalation workflows.
Avoid if
You need a simple CRM (HubSpot or Pipedrive are faster), a large ISV ecosystem (Salesforce wins), or minimal implementation cost (Creatio requires upfront investment).

Setup
Sign up for a Creatio trial (14 days, Enterprise features) at creatio.com. Choose your deployment (cloud or on-premise) and data center (US, EU, Asia). Configure user roles (hierarchy for sharing) and organizational structure (departments, teams) before importing users. Install any required marketplace apps (document generation, e-signature, industry packs) from Creatio Marketplace.
First thing to build
Model one end-to-end business process in the Process Designer: for example, Opportunity approval workflow with 5 stages (Submitted, Manager Review, Finance Review, Approved, Rejected). Define required fields per stage (Submitted requires deal value and justification, Manager Review requires approval notes). Add conditional logic (deals above a value threshold route to Finance, smaller deals route directly to Approved). Deploy the process, test with 10 sample opportunities, and verify that stage transitions enforce required fields and routing rules.
What actually matters
- Object model and sections: Creatio calls objects sections (Accounts, Contacts, Opportunities, custom sections). Use Section Wizard to create custom sections with fields, relationships, and layouts. For deep customization, use Configuration mode (low-code schema designer) to define business rules, calculated fields, and event handlers. Avoid modifying out-of-the-box sections; extend them via custom fields or related sections.
- Process automation and BPM: Creatio Process Designer is a visual BPMN tool for modeling workflows. Define stages, decision points (if-then-else), user tasks (approvals, forms), and integrations (API calls, email sends). Processes can be triggered on record create, update, or schedule. Test processes in a sandbox environment before deploying to production.
- Security and roles: Roles define record visibility (owner, department, organization-wide). Operation permissions control CRUD access per section. Use organizational structure (departments, teams) to mirror your company hierarchy. Design role hierarchy and permissions on paper first; Creatio security model is complex and hard to change after go-live.
- Deployment and customization: Use Configuration mode to build custom apps (partner portals, service request forms, industry-specific workflows). Export customizations as packages for deployment across environments (dev, test, prod). Use version control (Git) for package metadata. Avoid making changes directly in production; always test in dev or sandbox first.
Watch out
Do not underestimate the learning curve for Creatio BPM. The Process Designer is capable but complex; expect 2-4 weeks of training for admins to become proficient. The first mistake is trying to model the existing (manual) process exactly in Creatio; instead, redesign the process to use automation (eliminate manual handoffs, add conditional routing, enforce required fields at each stage). Map the ideal process on paper, validate with stakeholders, then build in Creatio. The second mistake is skipping sandbox testing; processes can break in production if not tested under load with real data.
